INFORMATION: ITU-T Template, Documents for USSG B, Transmittal to the ITU-T
November 2, 2004 (Rev.)
1) ITU-T Template: The ITU-T cover sheet/template may be downloaded from the ITU-T Web site, http://www.itu.int/ITU-T/ , under “Resources,” click on “Guides, Tools, and Templates,” then on the “basic” template. On the ITU-T template, there are blank "blocks" for the appropriate info. The "meeting/date" block info will read: “location, date of meeting” (i.e., “ Geneva, 7-17 December 2004”). All U.S. contributions will have as the first contact the Head of the U.S. Delegation, followed by the technical contact. Company contributions will have only the technical contact. The U.S. standards group cover sheet will be removed.
2) Abstract: Each contribution will contain an abstract.
3) Proposal/Conclusion Section: Each contribution will contain a "Proposal" or “Conclusion” section, usually at the end. (What you want the ITU-T SG to do with the information you put forward.)
4) End of Document: A 1" line (underscore) is centered at the end of the document to signal the end of the document. This line is in the template and your contribution information will be inserted in front of it.
5) References: If there are references to other documents being submitted to the same SG meeting, those should be referred to by: “D. , title of document,” The Delayed document number will be placed in the blank by the TSB, or by the Rapporteur during the meeting.
6) Document numbers: Obtain a USSG B number from the USSG B Secretary and place it in the upper right corner of the first page, followed by the T1/TIA/Forum number, prior to transmittal of your document to the USSG B Secretary for the USSG B meeting. Those numbers will be removed by the contributor, after document approval by USSG B and before the document is transmitted to the TSB by the contributor.
7) File Name: After you obtain a USSG B document number, name the electronic file you send to the USSG B Secretary with that document number.
8) Responsibilities of Author or Author’s Representative: Contributors/authors/ company representatives are responsible for participating in the USSG B meeting, making changes agreed at the USSG B meeting, and transmitting contribution(s) to the ITU-T TSB. Due dates for contributions at the TSB are announced in the ITU-T Collective Letter announcing the ITU-T SG meeting, and will also be announced at the USSG B meeting.
9) Contributor’s Transmittal to the TSB: You will transmit your contribution to the TSB by email. In the forwarding email, state that the contribution has been through the U.S. national process. If the contribution is sourced to the USA (a U.S. contribution rather than a company contribution), state that it is forwarded on behalf of Marian Gordon, Director, Telecommunication & Information Standardization, U.S. Department of State. Send the contribution as an attachment to an email addressed to tsbsg13@itu.int (the number is for the specific SG to which your contribution is addressed . Send a copy of the message to marcie.g@comcast.net and andren@ncs.gov ). You will receive a return email from the TSB that your contribution has been received.
Helpful information on document submission is at http://www.itu.int/ITU-T/studygroups/com4/edh/index.html (the “4” represents SG 4—insert the appropriate SG number).
